Making complex operations simple with Odoo for glass wholesaler Ayano

Ayano is a growing company active in the glass industry, managing large product volumes, tailored operations and a warehouse of over 15,000 m². With logistics, stock management, production and sales all tightly connected, efficient processes are essential to keep the business running smoothly and support future expansion. As the company continued to grow, they needed a stronger digital foundation to match their operational reality.
De uitdaging
Before working with us, Ayano had already implemented another ERP system. Despite the promises made during that project, the solution didn’t meet expectations and failed to support the business the way it should.
At the same time, warehouse operations had become increasingly difficult to manage. With thousands of products in stock and a large warehouse footprint, logistics didn’t always run as efficiently as needed. The initial request was therefore to improve their WMS setup and connect it to the existing ERP system.
However, after a first analysis, it quickly became clear that solving only the warehouse challenge would not be enough. Ayano needed a broader solution: one system that could support the full operation, from quotation to invoicing, while also connecting production, stock and warehousing in a smarter way.

Starting with a clear understanding
We kicked off the project with a quickscan to map the current situation, identify pain points and understand how Ayano truly operates. From there, we moved into a more in-depth analysis phase with structured workshops involving management and key people from different departments.
Together, we reviewed the most important operational domains, including purchasing, logistics, warehousing and sales. Rather than making assumptions, we built the future system based on the reality of their daily processes.

As Ayano’s CEO Erwin Meeuwesen explained, the goal was clear from day one: the system had to be simple, flexible, fast, reliable and secure.
Structured workshops, practical outcomes
During each workshop, priorities and needs were gathered in detail and translated into a clear backlog. At the end of every session, we summarised what had been discussed, ensuring alignment and giving Ayano confidence that nothing was being missed.
This structured approach helped create momentum quickly. It also allowed us to challenge existing processes where needed and introduce industry best practices that better fit the company’s growth ambitions.
Building in focused sprints
Once priorities were clear, we moved into delivery through two-week sprints. Every sprint resulted in new functionalities for Ayano to test, review and improve through direct feedback loops with the full project team.
This way of working kept the project transparent, fast-moving and manageable, while ensuring that the final solution stayed closely aligned with business needs.
Het resultaat
Ayano is now implementing an Odoo environment that truly supports the business instead of forcing the business to adapt to the software.
The impact is already clear. Processes that previously depended on paper, spreadsheets and duplicate work are being digitised and streamlined. Operational errors are expected to decrease, while employees gain more time for valuable work instead of repetitive admin tasks.

Most importantly, the company now has a scalable foundation for future growth, including potential international expansion.
